DESCRIPTION
The Board Secretary plays a vital organizational and governance role on the Digi60 Board of Directors. This position ensures that the board operates with transparency, accountability, and legal compliance by maintaining accurate records, documenting decisions, and supporting effective communication across the board.
This is a volunteer board role suited for someone detail-oriented, organized, and passionate about supporting arts governance in a collaborative, creative environment.
As Digi60 continues to grow, this role will work with the Board to shape the Festival's programming as we transition from a working board of directors to a governance board by 2027.
What’s Involved
2-year term on Digi60's Board of Directors
Monthly Board meetings (2 hours max)
Engagement at the Digi60 AGM and Digi60's Strategic Planning meetings
Participation at Digi60's annual planning meeting
10 volunteer hours at key Digi60 events throughout the year such as International Women's Day, Industry Socials or Mixers, in a leadership role (as Host, MC, or Facilitator)
Supporting Digi60's Annual Festival in December as an organizer, speaker, facilitator (3 days)
Key Responsibilities:
Record accurate minutes for all board meetings and distribute them to members in a timely fashion
Maintain official board records, including meeting agendas, motions, attendance, and policies
Support compliance with Digi60’s bylaws, ensuring that meeting procedures and documentation meet legal and organizational standards
Coordinate the Annual General Meeting (AGM), including recordkeeping and the distribution of reports
Manage board correspondence and serve as the primary point of contact for administrative board communications
Assist with board governance tasks, such as onboarding new members, managing director terms, and maintaining membership records
Collaborate with the President and other board members to support clear communication and effective decision-making
Provide general administrative support to the board as needed
Suggested Qualifications:
Strong organizational and administrative skills
Experience with meeting facilitation, minute-taking, or board administration
Familiarity with non-profit governance practices (or willingness to learn)
Ability to maintain confidentiality and accuracy
Comfort with digital tools (Google Docs, shared calendars, etc.)
Bilingualism (English/French) is an asset
